System Features

PRODocumal/ V3 is specially designed for document management, workflow management and collaboration. The purpose of this system is to manage and analyze document across the whole operation.

A multiple functions document management system to control the business process

- Define each operation process as an action box (Create, Approve, Archive,   Distribute), able to establish any kind of operation flow in a short period   using action box combination.
- Bulletin board function to support collaborative operation and to increase   efficiency and productivity.

User friendly operation system

- Setup a portal screen (My Category) for commonly used category. User has   easy access to his/her commonly used categories to confirm the new   bulletins and documents.
- Improve the efficiency of the operation by accessing the information   effectively.

Compatible to Global business environment

- Able to operate the system in Japanese/English (switch) by user unit.
- Screen field, message and database registration are all compatible in the   Japanese/ English languages.

Function Overview

Main function for PRODocumal/V3

1. Process definition by action box
    Define business process as action boxes to create the operation
      flow easily.
    Register an operation process in advance and confirm the job
      status of each project.

2. Collaboration by category unit
    Create a bulletin board by category (task unit e.g. section,
      project etc). Able to register collaboration record is in each project.
    Attachment function and reply function is available in this bulletin board.

3. Portal/ Personalize Function
    Setup a portal screen (My Category) for commonly used category.
     User is able to access to his/her commonly used categories easily.

4. Flexibility in Document Master Definition
    Create design layout for the document form layouts using
      HTML editor tools.
    Useful guide to create document field.

5. Document classification with link function
    A document can be registered as virtual document in a
      few different categories by utilizing the link function.
    Able to classify and search document from different points of view.

6. Batch mail receiving function during receiving approval request etc
    Accumulate a number of incoming requests e.g. Approval Request
     & Document Acceptance for a certain period and send out in one email.
     User will not receive countless & random email notification.
    Send out notification email immediately for emergency requests.

7. Security management between business partner (B2B)
    Register Business Partner in the system to receive documents/
     information according to the access level.
